Terms of Use

The short version
StaffSearch AI is a jobs website. Businesses post jobs, job seekers apply, and our AI helps sort the applicants. We are not the employer and we are not a recruitment agency - the business makes every hiring decision. Businesses must post real, legal jobs. Job seekers never pay anything. Your rights under Australian Consumer Law always apply.
1. Who we are
StaffSearch AI (staffsearchai.com) is run by Paul Stephen Thompson, trading as Helix Media Engine, ABN 66 926 581 596, Queensland, Australia ("we", "us"). Contact: [email protected].
By using the website you agree to these Terms and our Privacy Policy. If you don't agree, please don't use the website.
2. What StaffSearch AI does
- Businesses ("employers") post job ads, with help from our AI assistant (Arie).
- Job seekers find jobs (with help from our AI assistant, Emma), apply, and can make a private "little ad" so we can send them jobs that fit.
- We show each employer the people who applied for their job, ranked by our AI, so they can decide who to contact.
- We may share job ads on other websites, search engines (such as Google Jobs) and social media to help them reach more people.
We are a platform only. We do not employ anyone through the website, we are not a party to any job or contract between an employer and a worker, and we do not act as an employment or recruitment agent. We do not guarantee that a job will be filled, that anyone will apply, or that any person will be offered or accept a job.
3. Accounts
- Employer accounts are for businesses with an active Australian Business Number (ABN). You must give true details and keep your password private. You're responsible for everything done in your account.
- You must be at least 18 to open an employer account. Job seekers under 18 should have a parent or guardian's OK, and employers must follow the laws that apply to young workers.
- One business per account. Tell us straight away if you think someone else has used your account.
4. Rules for businesses posting jobs
When you post a job, you promise that:
- The job is real, currently available, in Australia (or clearly described if it isn't), and you have the right to offer it.
- You'll follow Australian workplace law, including the Fair Work Act, the National Employment Standards and the right modern award - for example paying at least the minimum wage or award rate, and following the rules on casual work, trial shifts and young workers. Unpaid "trial shifts" beyond what the law allows are not permitted.
- No discrimination. Your ad and your decisions won't treat people unfairly because of age, sex, gender identity, sexual orientation, race, colour, nationality, religion, disability, pregnancy, marital or family status, or any other attribute protected by law (except where the law allows, e.g. a genuine occupational requirement).
- No sham contracting. You won't advertise an employee job as a contractor role, or require workers to get an ABN, to avoid paying wages, super or leave.
- No scams. You will never ask applicants for money, fees, bank card details, passwords, crypto, or to buy anything to get a job, and you won't ask for tax file numbers, bank details or ID documents until you have genuinely offered them the job.
- No prohibited jobs: nothing illegal, adult or sexual services, pyramid or multi-level marketing schemes, "earn money from home" parcel-forwarding or money-transfer work, commission-only roles that aren't clearly described, or jobs that need a licence you don't have.
- You'll use applicants' details only to consider them for the job you posted, keep them secure, and follow the Privacy Act where it applies to you. You won't sell them, add them to marketing lists, or share them with anyone else.
- You'll check that the person you hire has the right to work in Australia and holds any licence or ticket the job needs - applicants tell us these things themselves and we do not verify them.
We may check your ABN with the Australian Business Register, scan ads for warning signs, ask questions, edit obvious errors, or pause or remove any ad that we reasonably believe breaks these rules.
5. Rules for job seekers
- It's free. Job seekers never pay us anything.
- Give true information - your real name, email and phone, and honest answers about your experience, tickets and right to work. Employers rely on it.
- Only apply for jobs you really want. Fake, joke or abusive applications are not allowed; employers can report them, and we may block those details from applying again.
- When you apply, your application (including your name, contact details, answers and any resume) goes to that employer. If you make a little ad, it stays private to the StaffSearch team - we use it to send you jobs, and an employer only gets your details if you choose to apply.
- Read our safety tips. Never pay money to get a job.
6. How our AI is used
- Our AI assistants (Arie and Emma) and our ranking tool use artificial intelligence. AI can make mistakes - please check anything important.
- Ranking: the AI compares each application with what the employer asked for (for example tickets, experience, days available and right to work) and gives a score with reasons. It is told to ignore age, gender and other personal attributes that shouldn't count.
- The employer always decides. The score helps an employer sort applications; it doesn't hire or reject anyone. Every applicant's application is shown to the employer.
- Employers are responsible for the ads they publish, even if our AI helped write them - please read your ad before you put it live.
7. Prices, payment and refunds
- Posting a job costs $25 (AUD) per job, which keeps the ad live for 14 days. We are not registered for GST, so no GST is charged. Prices are shown before you pay and may change for future ads.
- Launch offer: until 19 November 2026, each business's first job ad is free (one free ad per ABN). We may end or change offers at any time, but not for an ad that is already running.
- Payment is made before the ad goes live, by card through our payment provider, Stripe. We don't see or store your full card number.
- The ad finishes after 14 days, or earlier if you tap "Position filled" or close it. You can run it again for another 14 days at the current price.
- Refunds: because the service starts as soon as your ad is live, we don't give refunds for change of mind, for closing an ad early, or because a job wasn't filled. If we remove your ad because it breaks these Terms, no refund is due. If something goes wrong on our side (for example your ad didn't go live), contact us and we'll fix it or refund you.
- Australian Consumer Law: our services come with guarantees that cannot be excluded under the Australian Consumer Law. Nothing in these Terms takes those rights away.
8. Content and reports
- You own what you post. You give us permission to show, store, copy, format and share it (including on job sites, search engines and social media) to run and promote StaffSearch AI.
- Don't post anything false, misleading, offensive, defamatory, or that copies someone else's work or uses their brand without permission.
- Anyone can report a job using the "Report this job" link on each job page. We review reports and may pause an ad while we do.
- Don't copy, scrape or harvest the website or its data, try to break its security, or use it to send spam.
9. Information and guides
Things like our ticket and licence guides (White Card, RSA, food safety, Working With Children Checks and so on), pay information and AI answers are general information only. They aren't legal, migration, financial or career advice and can change. Always check with the course provider, your state regulator, the Fair Work Ombudsman, or the Department of Home Affairs before you act on them.
10. Our responsibility
- We don't check every job or every applicant, and we're not responsible for what employers or job seekers say or do - including whether a job is as described, whether an applicant's details are true, or anything that happens in an interview or a job.
- We work hard to keep the website running and safe, but it may sometimes be unavailable or have errors.
- To the extent the law allows, and except for the consumer guarantees you can't exclude, we are not liable for any indirect loss (such as lost profit or lost opportunity), and our total liability to an employer for any claim is limited to the fees that employer paid us in the 12 months before the claim. Where the law allows us to limit our liability for a consumer guarantee, our liability is limited to supplying the service again or paying the cost of having it supplied again.
- If you break these Terms or the law and that causes a claim against us, you agree to cover our reasonable costs of that claim.
11. Suspending accounts
We may suspend or close an account, remove ads or applications, or block someone from using the website if we reasonably believe they have broken these Terms or the law, or put other people at risk. You can stop using StaffSearch AI at any time, and ask us to close your account.
12. Changes, law and contact
- We may update these Terms. The date at the top shows the latest version; if a change is important we'll tell account holders. Using the website after a change means you accept it.
- These Terms are governed by the laws of Queensland, Australia, and the courts of Queensland can hear any dispute. Please contact us first - most things can be sorted out quickly.
- Questions or complaints: [email protected].
